How do I get started with QCMS?
The process typically begins with a consultation and a Rental Market Analysis (RMA) to determine your property’s value. Once we agree on a management plan, we sign the management agreement, conduct an initial inspection, and begin the onboarding process — often starting as soon as the same day.
What are your management fees?
As real estate investors ourselves, we pride ourselves on the transparency of our pricing and the competitiveness of our rates. We are a full-service property management company, so our fees fall in line with the high-quality products and services offered. In the Charlotte market, standard monthly management fees typically range between 8% and 12% of the gross monthly rent. We offer customized quotes for multi-unit portfolios. We only collect our management fee when rent is actually collected.
Are there other costs I should know about?
Yes. Common additional fees include: Leasing Fee: A one-time fee (often 50% to 100% of the first month’s rent) for marketing and placing a new resident.Renewal Fee: Charged when an existing resident signs a new lease.Maintenance Reserve: We typically hold a small reserve (e.g., $300–$500) to cover minor, urgent repairs without needing to contact you for every small bill. When and how do I receive my rental income?
We process owner distributions monthly via ACH direct deposit, typically on the 10th and 20th of each month. This allows time for resident payments to clear and for any vendor invoices to be settled. Each owner may choose which payment date works best for them.
What kind of financial reporting will I receive?
You will have 24/7 access to an Online Owner Portal. Each month, you’ll receive an itemized statement showing all income and expenses, along with copies of any paid invoices. At year-end, we provide a 1099 and a comprehensive annual summary for your taxes.
How do you find and screen residents?
We market your property on our website, the Charlotte MLS, and across major rental directories with professional photos. Our screening process is rigorous, checking credit history, nationwide background, income verification (usually 3x rent), and past rental performance.
Do I have to allow pets or Section 8?
The choice is ultimately yours. While you are not required to accept housing vouchers in NC, we are happy to discuss the pros and cons. Regarding pets, allowing them can significantly increase your pool of prospective residents. We utilize a specialized third-party screening service to mitigate risks and ensure full compliance with Emotional Support Animal (ESA) regulations.
How do you handle a resident who doesn't pay rent?
Rent is due on the 1st and late after the 5th. If payment isn’t received, we issue the required legal notices and handle the eviction process from start to finish if necessary, partnering with local attorneys to expedite the process while keeping you informed at every step.
How are maintenance requests handled?
Residents submit requests through their portal. We troubleshoot minor issues first to save you money, then dispatch vetted, insured vendors for necessary repairs. For non-emergency repairs over a certain threshold, we will contact you for approval.
Are you able to handle all types of maintenance and repairs?
Yes, absolutely. We have a wide range of preferred vendors, from handymen for light repairs to licensed General Contractors, Plumbers, Electricians, Painters, and Window Installers. We have everyone you would need to build and maintain a home.
Do you inspect the property during the lease?
Yes. We conduct regular evaluations (typically every 6–12 months) to ensure the resident is complying with lease terms and to catch small maintenance issues before they become expensive problems. You will receive a detailed report with photo documentation after these inspections via your portal.
What is the SureVestor Protection Program and which QCMS management tier includes it?
SureVestor is a third-party landlord protection program that covers lost rent, eviction costs, and malicious damage when a qualified tenant defaults. At QCMS, SureVestor Protection is included in the Concierge management tier — the tier designed for portfolio owners managing 3 or more units. It is not included in the A La Carte or Performance tiers.
What is QCMS's 30-Day Placement Guarantee and how does it work?
QCMS’s 30-Day Placement Guarantee means that if your property is tenant-ready and we don’t place a qualified tenant within 30 days, you pay zero management fee for that placement. This guarantee applies to the Concierge tier and is documented in your Residential Management Agreement. The guarantee starts from the date your property is listed and ready to show.
How does QCMS handle the transition if I'm switching from another Charlotte property manager?
QCMS manages the full transition from your prior property manager: we request lease files, tenant contact and payment records, security deposit transfer, and maintenance history. In most cases, tenants receive written notice and transition within 30 days. You do not need to contact the prior manager directly — QCMS handles all coordination on your behalf.
