Rental Application Instructions

Thank you for your interest in renting one of our properties. Please read the following instructions on how to apply.  Your application will be processed faster if ALL REQUIRED DOCUMENTS are submitted together – typically 24-48 hours after submission. Please be prepared to pay the application fee, if applicable, as outlined in the property listing.  Each resident over the age of 18 must submit a separate rental application.  Rentals are given on a first come, first serve basis.

Applications & Application Process

What do I need in order to apply?

Each adult (18 or older) who will live in the home must submit a separate application. You should provide a government-issued photo ID, proof of income (last 2 months of paystubs or 3 months of bank statements), rental and employment history, and consent for background/credit screening.

Is there an application fee?

Yes. There is a non-refundable application fee per adult to cover screening costs. Because screening starts quickly, it is almost never refundable once paid.

How long does the application review process take?

Quick Turnaround: Once all documents are uploaded, we typically provide a decision within 1–3 business days. You can speed this up by alerting your references and current landlord that we will be contacting them.

How are applications evaluated for the same home?

We process completed applications in the order they are received. The first fully-qualified applicant group that signs the lease and pays required funds will usually be approved. We follow all Fair Housing laws consistently.

Do you accept housing vouchers?

This is on a case-by-case basis with Owner approval. We are happy to work with local housing programs and rental assistance when compatible with owner instructions and specific property requirements.

Moving In

What payments are due before I move in?

Before receiving keys, you must sign the lease and pay the security deposit, first month’s rent (or prorated amount), and any approved pet fees in certified funds or through the portal.

Do I need renter’s insurance?

Yes, in most cases we require residents to carry renter’s insurance with at least $100,000 in personal liability coverage. We strongly recommend it for all residents to protect personal belongings.

How does the move-in inspection work?

You will complete a digital move-in condition form or paper checklist during your first few days. We encourage you to add photos to document the property’s condition at the start of your tenancy.

Maintenance & Emergencies

How do I submit a maintenance request?

Log in to the online resident portal, choose the maintenance request option, and describe the issue. Please include photos or videos to help us troubleshoot and dispatch the right vendor quickly.

What is considered an emergency maintenance issue?

Emergency issues threaten health or safety or could cause serious property damage. Examples include:

  • Active flooding or major sewer backups
  • Fire or the smell of gas (call 911 first)
  • Total loss of heat during very cold weather
  • Total loss of air conditioning during extreme Charlotte summer heat

Emergencies should be reported by phone to the emergency line listed in your lease immediately.

Who pays for repairs?

The landlord is responsible for habitable conditions and normal wear and tear. If damage results from resident misuse or neglect (e.g., flushing inappropriate items or not changing HVAC filters), the cost may be charged to the resident.

Security Deposits & Move-Out

How much notice do I need to give to move out?

Written notice is required in advance of your lease end date, typically 60–90 days. For month-to-month tenancies, at least 30 days’ notice is required.

When will I get my security deposit back?

Under North Carolina law, after you vacate and return possession, you will typically receive an itemized statement and any remaining refund within 30–60 days.
